The hospitality technology market has never been more crowded or more confusing. Every week there is a new platform promising to automate revenue management, boost direct bookings, or replace a function your team currently handles manually. For independent operators without a dedicated IT function, navigating this landscape is genuinely difficult.

The Problem with Most Technology Purchasing Decisions

Most independent properties acquire technology reactively. A sales representative reaches out, the demo looks impressive, and a decision gets made without a clear understanding of what problem is being solved or whether this tool is the right solution for a property of this size and type.

The result is a technology stack that has grown organically over time, with tools that overlap, don’t communicate with each other, and in some cases are barely used. Monthly subscription costs accumulate and the true cost of the stack is rarely reviewed in aggregate.

The Right Question to Ask Before Any Purchase

Before evaluating any technology, the question to answer is: what specific commercial outcome are we trying to improve, and is technology the right lever to pull?

Some problems that look like technology problems are actually process problems or training problems. Investing in a new rate management tool will not improve pricing discipline if the team lacks the framework to use it effectively. Buying a new booking engine will not lift direct conversion if the website experience around it is poor.

Technology earns its place when it removes genuine friction, automates a task that has real cost, or delivers insight that changes commercial decisions. If it doesn’t do at least one of those things clearly, it is probably not the right investment.

What a Technology Audit Reveals

A structured technology audit for an independent property typically examines three things: what tools are currently in place and what they actually cost, whether those tools are being used to their capability, and where the genuine gaps are that technology could address.

The findings are often both surprising and clarifying. Many properties are paying for functionality they don’t use while genuinely lacking tools that would make a commercial difference. Identifying and addressing that gap is usually more valuable than adding another platform.
